Refund & Cancellation Policy

This page explains how to cancel TestnHire plans, when refunds may apply, and how to request a review. For plan options, see Pricing. Related terms are in our Terms of Service.
Scope
This policy applies to paid TestnHire services on testnhire.com and the employer platform—including Free, monthly and yearly subscription plans (Starter, Growth, Business, Enterprise) and Pay-as-You-Go connect purchases—and to billing, cancellation, and refund requests for those charges. It covers employer customers, hiring managers, and authorized account users who buy or manage a plan, in all regions where TestnHire is offered (including customers billed from India and internationally, such as the United States, United Kingdom, European Union, and other countries where the service is available). It does not apply to candidates taking assessments unless they are the paying account holder.
1. How to cancel
You may cancel a paid TestnHire subscription at any time. To cancel, sign in to your employer account and manage billing from your plan/settings area, or email info@testnhire.com with the subject “Cancel subscription” and your account email.
Cancellation stops future renewals. You keep access to paid features through the end of the current paid billing period already charged, unless we state otherwise in writing for your order.
2. When refunds apply
Subscription fees and Pay-as-You-Go connect purchases are generally non-refundable once payment is processed, including unused connects remaining in a billing cycle.
Refunds may be issued when required by applicable law, when a charge was made in error (for example a duplicate payment), or when TestnHire cannot provide the paid service for reasons attributable to us.
The Free plan has no paid charges, so refunds do not apply.
3. How refunds are processed
Approved refunds are returned to the original payment method within a reasonable period after approval (typically 5–10 business days, depending on your bank or card issuer).
To request a refund review, contact info@testnhire.com with your account email, invoice or receipt details, and a short description of the issue.
4. Relationship to other terms
This Refund & Cancellation Policy supplements the TestnHire Terms of Service. Data collected
When you subscribe, cancel, or request a refund, we may collect and process the following categories of personal and billing data:
- Account and billing contact data: name, work email, company name, and authorized user details for the paying account.
- Commercial and payment records: plan name, billing cycle, invoice or receipt identifiers, amount charged, currency, and payment status. Card numbers are handled by our payment processor (for example Stripe) under PCI-DSS and are not stored in full on TestnHire systems.
- Cancellation and refund request data: the reason you provide, correspondence with support, and timestamps of cancel or refund actions.
- Usage needed to resolve a request: connect or seat usage tied to the billed period, so we can confirm what was purchased and whether a charge was in error.
Purpose
We use this information for the following purposes related to cancellation and refunds:
- Identify your account and process a cancellation or refund review.
- Determine whether a charge is refundable under this policy or applicable law.
- Return approved refunds to the original payment method and keep an audit trail of billing events.
- Prevent fraud, duplicate claims, and unauthorized account changes.
- Meet tax, accounting, and consumer-protection obligations.
Legal basis
Where GDPR, UK GDPR, Indian DPDPA, or similar laws apply, we rely on one or more of the following legal bases for billing, cancellation, and refund processing:
- Contract: processing needed to perform our customer agreement, including collecting fees, stopping renewals, and handling refunds described in this policy.
- Legal obligation: retaining invoices and payment records for tax, accounting, and consumer-law requirements.
- Legitimate interests: preventing payment fraud, resolving disputes, and improving billing operations in ways that do not override your rights.
- Consent: only where we ask for it (for example optional marketing after a cancel); you may withdraw consent at any time.
Sharing
We do not sell billing or refund data. We share it only as needed to process payments and requests, or as required by law:
- With our payment processor (for example Stripe) to charge, cancel recurring billing, and issue approved refunds.
- With hosting, email, and support providers that help us operate accounts and respond to cancel or refund tickets.
- With professional advisors (legal, tax, or auditors) under confidentiality obligations when reasonably necessary.
- With authorities or other parties when required by law, legal process, or to protect rights, safety, and security.
- In connection with a corporate transaction (merger, acquisition, or asset sale), subject to appropriate protections.
Retention
We retain cancellation and refund-related records only as long as needed for the purposes above, then delete or anonymize them except where longer retention is required by law.
- Active subscription and billing records are kept for the life of the customer relationship.
- Invoices, payment confirmations, and refund decisions are generally retained for a limited period after the account ends (typically up to seven years) for tax, audit, and legal claims.
- Support correspondence about a cancel or refund is retained while the request is open and for a reasonable period afterward to resolve disputes.
- When retention ends, we delete or irreversibly anonymize personal data, except where a longer period is required by applicable law.
User rights
Depending on your location and role as a paying account user, you may have rights to:
- Access the billing and account data we hold about you and receive a copy in a portable format where applicable.
- Correct inaccurate or incomplete billing contact details.
- Request deletion of personal data, subject to legal or accounting retention requirements (we may keep invoices even after an account is closed).
- Object to or restrict certain processing, and withdraw consent where processing is based on consent.
- Lodge a complaint with a supervisory authority if you believe processing violates applicable law.
